Designed for your team
An air desk relationship connects the flight brief to airport transfers, hotels and programme dates, with clear ownership of ticketing and traveler communication.
Connect the international flight to the land programme
Share the start and end location, first scheduled activity, transfer arrangements and acceptable arrival airports. A flight arriving in Tokyo may need a different handoff from a journey continuing to Kansai or another Japanese city.
We compare the air options against those practical requirements. Describe any onward domestic flight, rail segment or separately booked service so the proposal does not hide a change of airport or a tight connection behind an attractive headline price.
Build a practical division of responsibilities
Agree who quotes, who instructs ticketing and who communicates a change to the traveler. Your DMC can remain the primary client contact, while we coordinate the air enquiry and provide the flight details your operations team needs.
| Stage | DMC brief | Air desk response |
|---|---|---|
| Enquiry | Programme dates, guest count and U.S. departure cities | Itinerary options, price basis and relevant restrictions |
| Approval | Client selection and authorized approver | Rechecked availability and ticketing deadline |
| Pre-arrival | Ground team contact and transfer plan | Confirmed flight details and reported schedule changes |
| Disruption | Impact on the land programme | Available air servicing steps under ticket and airline rules |
Support complex arrival patterns without hiding the details
A private tour, executive visit or small group can involve travelers starting in different U.S. cities. Provide separate departure briefs and say whether everyone must arrive together. Multiple passengers do not guarantee that the same fare or seat type is available for the whole party.
Clarify whether the request is individual ticketing or requires a group arrangement. Any airline group conditions, deposits or minimum numbers must be established for the actual proposal; our air desk enquiry is not a promise of a contracted group allocation.
Start with a single programme
Send your DMC name, operations contact, itinerary dates, departure cities, number of travelers and key arrival constraints. Ask for a white-label proposal if you need to present the air portion as part of your own client communication.
We offer non-exclusive cooperation and 24/7 support contact. Use a pilot to agree the working format, response expectations, payment responsibilities and schedule-change handoff before extending the arrangement to more departures.
Partner questions
Can a Japan DMC keep the traveler relationship?
Yes. Agree the communication flow at the start so your DMC remains the primary client contact unless a different handoff is requested.
Does the air desk include hotels and ground transfers?
This service concerns the air portion. The DMC retains the destination programme unless a separate arrangement is explicitly agreed.
Can you coordinate arrivals from different U.S. cities?
Yes. Send a brief for each origin and identify the shared arrival deadline. Feasible combinations depend on current schedules, inventory and fare rules.
